    3. Access Control & Security

    • Access Control: Access to identifiable member profiles is strictly limited to our founding directors and matchmakers directly involved in your search.
    • Technical Security: Data is stored in our internal database (Airtable), which is encrypted at rest (AES-256) and in transit (SSL/TLS). Our application intake form is provided by Fillout (by Zite), which is SOC 2 Type 2 compliant, with all data encrypted in transit and at rest. We maintain data processing agreements with our service providers.

    4. What We Collect & Why

    • Identity & Contact: We collect your name, email address, and WhatsApp/phone number to communicate with you about your membership, send curated match profiles, and deliver our bi-weekly insights. This is processed on the basis of performing our contract with you (and, for marketing communications, your consent). Your first name and phone number are only shared with a potential match you have agreed to meet, based on the privacy preferences you select during registration.
    • Identity Verification: As part of our process, you will be asked to show a government-issued ID during a verification call with your matchmaker. We do not retain a copy of this document. We record only that verification took place, the date, and the matchmaker who conducted it. This exists to protect the safety and authenticity of our member community.
    • Special Category Data: Because we are a matchmaking service, we collect data regarding your values, beliefs, lifestyle, and relationship preferences. This is processed on the basis of your explicit consent, given when you complete your intake assessment. You may withdraw this consent at any time by contacting your matchmaker, which may affect our ability to continue providing the service.
    • Multimedia: We collect photos for potential sharing with matches. Photos are only shared with a specific curated match based on the explicit privacy preferences you select during registration, and only on the basis of your consent. You may update these preferences or withdraw consent for specific shares at any time by contacting your matchmaker.

    5. Profile Creation & Matchmaking Process

    To provide our bespoke matchmaking service, we use the information you provide to create a curated Match Profile.

    • Preliminary Filtering: To manage the volume of enquiries efficiently, we use an automated tool to conduct an initial, preliminary filter of applications against basic stated criteria such as age range and location. This filter never makes a matching decision. Every profile that proceeds is then personally reviewed, and every match is personally proposed, by a human matchmaker.
    • Human-Led Creation: Our team crafts your profile based on your values, preferences, and lifestyle. All final profile and matching decisions are made by our matchmakers β€” never by automated means alone.
    • The Approval Process: We do not share your profile without your knowledge. You have final authority over your data β€” we only share your profile description once you have reviewed and approved the specific text.
    • One-at-a-Time Sharing: Profiles are only shared with one potential match at a time, identified by our team as a high-quality compatibility candidate.

    Where transfers involve personal data leaving the EU, we rely on Standard Contractual Clauses or other safeguards recognised under GDPR, and we require our providers to maintain a level of data protection equivalent to GDPR standards. We review this list periodically as our service providers change.

    7. Your Rights & Retention

    • Right to Erasure: You may request the deletion of your data at any time by emailing hello@thedatealchemy.com. We will process this within 30 days.
    • Retention During Active Membership: We retain your data for the duration of your active membership.
    • Retention for Future Matchmaking β€” Contact & Criteria Data: Whether you are a paying member, a database member, or have attended a Singles Socials event, we retain your basic contact details and stated matching criteria β€” such as your name, contact information, age range, location, and the type of partner you are looking for β€” for up to 5 years from your last interaction with us. We do this because matchmaking is an ongoing process; a strong match for you may not appear until well after a single event or membership period ends, and keeping our database current is core to how we serve all our members. This retention is based on our legitimate interest in providing an effective, long-term matchmaking service. You may object to this at any time and ask us to remove you, free of charge, by emailing hello@thedatealchemy.com β€” we will action this without needing a reason from you.
    • Retention of Your Full Match Profile β€” Special Category Data: Information about your values, beliefs, lifestyle, and relationship preferences (used to build your detailed Match Profile) is processed only with your explicit consent, given when you complete your intake assessment. You may withdraw this consent at any time; if you do, we will delete this detailed profile data while retaining only your basic contact details as described above, unless you also ask us to delete everything.
    • Re-engagement: If, after your membership or event has ended, we identify a potential match for you, we will contact you to confirm your interest before proceeding. At that point, if you wish to proceed, we will ask you to reconfirm your information and consent to building or refreshing your full Match Profile.
    • End of Retention Period: At the end of the 5-year period, if we have had no further interaction with you, we will delete or fully anonymise your data.
    • Anonymised Statistics: We may retain fully anonymised, non-identifiable aggregate statistics (for example, to understand matching trends) beyond the periods above. This data cannot be linked back to you.
    • Right to Lodge a Complaint: You have the right to lodge a complaint with the supervisory authority in your country of residence β€” for example, the CNPD in Luxembourg, or your relevant national data protection authority if you reside elsewhere in the EU. You may also raise a complaint with us directly at hello@thedatealchemy.com, and we will acknowledge it within 30 days.

    8. Marketing

    If you register as a member, we use your email address to send our bi-weekly newsletter, based on your consent. You may unsubscribe at any time via the unsubscribe link in any email, or by contacting us directly.

    9. Changes to this Policy

    We may update this policy from time to time. We will notify active members by email of any material changes before they take effect.
